POSITION: Director of Operations & Paralegal
Full-Time • Wetumpka, Alabama

What This Role Actually Is Think of this role in three dimensions:

THE FACE THE ENGINE THE ANCHOR

    The Face: You are often the first face a client sees and the first voice a client hears. When someone calls because a parent just passed, or because they’re scared about what happens to their spouse if something happens to them, you create calm. You help implement the procedures and strategies that help us gather information, schedule consultations, run conflict checks, and make people feel like they found the right place.
    The Engine: You drive the workflow from intake to closing. While you may prepare estate planning documents, coordinate deed transfers and recording, manage Medicaid matter timelines, draft and file guardianship paperwork, and keep Clio (our practice management platform) humming, you won’t be the only one doing these things, but you will be responsible for ensuring these systems run.
    The Anchor: You hold the firm’s operational reality together. You will be responsible for managing projects, tasks, timelines, and kindly reminding the attorneys that they are behind schedule.

A Day in the Life

No two days look exactly alike. But here is what a strong week at River Region Law Firm looks like:

    Monday Morning - You’re ready for the weekly staff meeting, our systems and trackers are up to date allowing you to report on the status of cases generally and specifically, highlight key deadlines for the week, and project implementation process. You review the week’s consultations and confirm, insure that necessary information has been collected before initial meetings and intake packets ready for the attorneys. You send two reminder emails and close out a matter from Friday.
    Tuesday - A new Medicaid planning inquiry comes in. You screen it, gather asset and family information, and triage to the attorney. In the afternoon, you prepare a revocable living trust package for a couple whose signing is Thursday.
    Wednesday - A flurry of potential clients call and you coordinate with staff to screen the calls, schedule initial meetings, send confirmation emails, and escalate emergency matters to the attorneys. A current client calls with questions about their trust after a recent signing, you answer what you can and route the rest.
    Thursday - Signing day. As the attorney aides the client in signing their trust you ensure that yourself or other staff are there to support, to scan the signed documents, and save to our database. Clients leave with originals in hand, feeling taken care of. You organize and hand the matter off to our funding assistant.
    Friday - You update Clio, calendar review reminders for trust clients, confirm appointments for next week, make sure the week’s work is clean and complete before you leave.

What We’re Looking For

The Must-Haves
    • Paralegal experience in estate planning, probate, elder law, or a closely related field (we will train the right person on specifics, but base knowledge matters)
    • Exceptional organizational skills and the ability to manage multiple matters simultaneously without error
    • Professional, warm, and composed client communication on the phone, in writing, and in person
    • Discretion and confidentiality as a non-negotiable standard
    • Comfort with technology (experience with Clio, Word, Excel, and PDF tools is a plus)
    • A genuine desire to serve people going through significant life transitions

The Nice-to-Haves
    • Alabama Probate Court experience or working knowledge of Alabama estate and guardianship procedures
    • Experience preparing deed transfers, trust documents, or Medicaid planning materials
    • Familiarity with bundling and upselling legal services as part of an intake workflow
    • Associate’s or Bachelor’s degree, or ABA-approved paralegal certificate
